What is productivity monitoring software?
As the name suggests, productivity monitoring software is a tool that collects and analyzes employees’ work activities. This gives data and information to HRs and managers, so that they can have a clear picture of the time employees spend in the workplace, their performance, and their overall activity patterns.
Although it is mostly used for managing hybrid and remote team productivity, it is also highly used in the usual office setting. Productivity tracking tools are effective in removing micromanaging.
In short, the productivity monitoring tool is flexible, integrates into existing systems, and can even support broader workforce management software for a complete view of operations.
Key features of productivity monitoring software
Some of the essential features of a work productivity tracker include,
Time tracking:
One of its biggest features is that it accurately records the time an employee spends completing a specific task or project. This makes employers aware of the time an employee spends on a specific task.
Activity tracking:
Apart from tracking time, it also monitors the activities an employee performs during their working session. This includes even the minutest ones, such as tracking keyboard usage, mouse movements, apps, or web pages visited etc.
Idle time tracking:
Apart from screenshot capturing, the productivity monitoring software can also monitor when the employee is inactive. This is a critical feature as it tells the exact time during which an employee was idle.
Screenshot capturing:
To ensure that absolute transparency is exercised in monitoring, productivity tracking tools have a feature – it captures screenshots. This happens periodically. For instance, after every 5 or 10 minutes, a screenshot will capture the activity the employee was performing.
Task and project management:
In addition to all these, the remote employee monitoring tools are also effective in tracking the time when a particular task or project was completed, in progress, or pending. It also shows who has assigned the task and to which employee.

When HRs and managers have clear, real-time insight and data with them, they can address the issues of time lost and counterproductive activities. This will enable them to identify such issues, allocate resources smartly, and ensure that the employee remains productive.
Decisions backed by data:
Given that the tool delivers credible productivity analytics, management can now make well-informed decisions that rely on actual data. They can formulate strategies and take actions from the tool’s insights, instead of using speculation or guessing.
Brings accountability:
If you’re an HR or a project manager, and you confront an employee about their high idle time without any proof, chances are that they will get defensive. But when you share it with a screenshot that the tool captures, the conversation becomes objective and much easier to navigate. Employees understand the issue clearly, and it encourages responsibility without turning into a blame game.
Time management:
At its core, the objective of monitoring the productivity of employees is all about making the best utilisation of time. When an employee understands that their work time is getting tracked, they not only work hard, but also in a smart way. They start prioritizing their tasks sensibly.
