About Ajmal Foundation
Ajmal Foundation is an ISO certified Public Charitable Trust, registered under Indian Trust Act, 1882. It was established in the year 2005 with its head office located in the district of Hojai, Assam in India. With the spirit of ‘Serving Humanity in Need’ Ajmal Foundation has been working in the field of Education, Skill Development and Livelihood Promotion, Women Empowerment, Poverty Alleviation, Relief & Rehabilitation, Water Management and Sanitation, Cancer Care, Support to Disabled and Widows, Legal & Digital Literacy, Women and Child Development, Healthcare and Family Welfare etc. The Foundation has been running 36+ Educational Institutions all across Assam including Lower Primary Schools, Primary Schools, Middle Schools, High Schools, Higher Secondary Schools, Degree Colleges, Teachers Training Colleges and Law College etc.
Running an organization of this scale that is spread across dozens of locations, operational complexities become evident, and for Ajmal Foundation, those complexities came in HR operations and payroll processing. For Ajmal Foundation, HR and payroll management had long been handled manually. However, it began to show its limitations.
The challenge
Before Superworks, Ajmal Foundation relied on Excel-based processes to manage HR and payroll for its entire workforce. This approach was no longer sustainable, especially at the scale the foundation was operating. The cracks showed up in a few consistent ways:
Data chaos between departments:
With attendance and employee data stored across dozens of spreadsheets, HR and Finance frequently worked off mismatched numbers. This frequently created a lot of confusion, requiring both teams to cross-check figures manually before the finalization of any report or payout.
Heavy manual validation:
Reconciling attendance records and master data across 2,000+ employees and 40+ locations meant hours of manual checking. Every discrepancy- a missed punch, a mismatched shift, an outdated record had to be tracked down and corrected manually before it could move forward. This turned a routine task into a recurring drain on the team’s time.
Payroll hassles:
Missing employee IDs and manual entry errors made the entire salary process error-prone. With a diverse workforce working across multiple locations, even small inconsistencies in the data had a cascading effect on the workforce’s payroll, adding pressure to a process that was already stretched thin.
Recognizing that this couldn’t scale further, the foundation started looking for a solution that could automate and modernize the organization’s HR operations.
The search
The foundation started looking for a solution. They were evaluating several HR platforms until they came across Superworks through a Facebook reel.
Their evaluation wasn’t limited to Superworks alone. Having previously used competitors’ platforms and other HCM systems, Ajmal Foundation brought their user experience to the table and found that those platforms fell short on flexibility, customization, and the level of support organizations like Ajmal Foundation needed.
Superworks stood out on all three fronts:
Flexibility:
The platform could be shaped around Ajmal Foundation’s specific operational needs- from managing a diverse, multi-state workforce to accommodating blue-collar and white-collar processes differently rather than forcing the organization into a rigid workflow.
Stability:
Superworks delivered reliable, consistent performance with minimal disruptions, even while running operations across 40+ locations simultaneously.
Cost-effectiveness:
The platform offered strong functional depth without stretching the organization’s budget. This made Superworks a practical, sustainable fit for Ajmal Foundation.
These factors made the decision clear, and Ajmal Foundation moved forward with Superworks.
The implementation
Rather than rushing a full-scale switch, Ajmal Foundation and Superworks opted for a phased implementation, a decision that reflects careful planning over quick wins.
Super HRMS leave and Attendance modules were rolled out first.
Another milestone is the adoption of Super Payroll. It is planned to go live in April 2027.
This simplifies data migration and avoids the complications associated with switching payroll systems.
The impact
Even before payroll goes live, the impact of Superworks on Ajmal Foundation’s day-to-day operations has been substantial.
Beyond the numbers, the qualitative shift has been just as significant. What was once a process defined by manual follow-ups and heavy validations has become a streamlined workflow requiring minimal manual intervention.
Moving ahead
With Leave and Attendance already delivering measurable time savings, Ajmal Foundation is now preparing for the next phase of its automation journey.
The Super Payroll will go live in April 2027 and is expected to push overall automation to 50–60%, further reducing manual workload and reinforcing a more streamlined, error-resistant HR function across all 40+ locations.
